Who is responsible?

Enquiries and legal bases
We collect the name, work email, company and project information you choose to submit, including service needs, timing and any campaign references in the page URL. We use these details to respond and discuss your project. The website asks for your consent to this processing (Article 6(1)(a) GDPR, where applicable). Providing an enquiry is voluntary; without contact details and a brief we cannot respond meaningfully. Do not include confidential product details or sensitive personal data.
Optional website analytics uses separate consent. Accepting analytics is not required to send an enquiry and does not subscribe you to marketing emails. Necessary technical processing for delivering and protecting the website serves the legitimate interest of reliable, secure operation, where that legal basis applies. Any resulting contract, mandatory retention or legal claim may require a different applicable legal basis, which is separate from optional analytics consent.
Recipients and service providers
Enquiries are sent to HubSpot, our CRM provider, and are accessible to the BSW TECH people handling your request. Email correspondence is handled by the email services used by each party. Hosting and security providers process connection information needed to deliver and protect the site. External video providers receive data only when you choose to load their player or visit their website.
Analytics, cookies and your choice
HubSpot analytics is off until you explicitly accept it. It can process page visits, traffic sources, IP addresses and browser or device identifiers. Cookies may include hubspotutk, __hstc, __hssc and __hssrc. If you submit an enquiry with analytics enabled, its tracking identifier may be sent with the form to associate visits with your contact record. This choice does not enable advertising cookies or subscribe you to marketing.
Cookie settings in the footer lets you refuse or withdraw analytics at any time. Withdrawal stops subsequent tracking and removes accessible HubSpot tracking cookies; it does not erase data already received. Necessary browser storage remembers your choice, its timestamp, language and notice version for up to 180 days. A changed notice version requires a new choice. Enquiry submissions include the processing-consent wording, submission time and notice version. Browser-only preferences are not a central audit log.
External videos
YouTube (Google), Facebook (Meta) and LinkedIn players remain unloaded until you confirm the provider-specific prompt. Loading a player shares your IP address and browser or device information with that provider, which may use cookies and process data outside the EEA under its own privacy policy. Video permission is separate from website analytics and applies to the player you choose to load. Stop video, change the film or leave the page to unload it. This does not remove provider cookies or reverse processing already performed; use the provider or browser controls for those cookies.
International processing
BSW TECH operates in Moldova. Your information may be accessed by our team there and processed by providers or their subprocessors in other countries. An EU account address or EU data centre does not mean all processing remains in the EEA. HubSpot describes its processing roles, subprocessors and transfer mechanisms in its Data Processing Agreement. Contact office@bsw-tech.com for information about the safeguards applicable to your enquiry or to request a copy of relevant safeguards.
Retention
Retention depends on whether your enquiry is still being handled, leads to an ongoing business relationship, or must be kept for an applicable legal obligation or a legal claim. Information should no longer be retained once those purposes cease to apply. The 180-day preference period is not the retention period for CRM enquiries. Contact us for the retention criteria applicable to your particular record or to request deletion. Withdrawing analytics does not automatically delete a CRM enquiry.
Your rights and requests
Where GDPR applies, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests, subject to the applicable conditions. You can withdraw consent without affecting processing that was lawful before withdrawal. Write to office@bsw-tech.com, indicating the email used for your enquiry. We may need proportionate information to verify your identity. GDPR requests must normally be answered within one month; any lawful extension must be explained within that period.
You may complain to a competent supervisory authority, including the authority in the EU country of your habitual residence, place of work or alleged infringement, where GDPR applies. The European Data Protection Board publishes the list of EU supervisory authorities. This website does not make decisions producing legal or similarly significant effects solely through automated processing.
